Meeting Room Rental Kuala Lumpur: Hourly Booking Costs
Meeting room rental in Kuala Lumpur can be booked by the hour, although the minimum duration depends on the venue. At Maxsmart Event Space, standard rates range from RM300 to RM600 per hour with a two-hour minimum; half-day and full-day packages are also available. The better choice depends on how long you need the room, including preparation and packing up.
How hourly meeting room booking works
An hourly rate tells you the cost per hour, but it doesn't necessarily mean you can reserve a single hour. Before comparing venues, check the minimum booking and the lengths actually available in the booking calendar.
At Maxsmart Event Space, you can choose two hours, three hours, a half day of four hours or a full day of eight hours. The online booking window runs from 8:30am to 5:30pm, and the site asks you to book at least two days ahead.
Your reservation should cover the time you need access to the room. Allow for connecting your laptop and checking remote participants before the discussion begins, then leave room for the final questions and your departure. If your agenda fills the entire slot, a longer booking may be the more comfortable choice.
When comparing coworking centres or other meeting venues, check what their package names mean. A half day doesn't always cover the same number of hours, so compare the actual duration alongside the total price.
Compare the total cost of each booking length
The table below uses Maxsmart Event Space's standard room rates, before any first-booking discount. The two-hour and three-hour totals are calculated from the published hourly rates; the half-day and full-day figures are the published package prices.
| Booking length | Nexus Executive Boardroom | Synergy Suite |
|---|---|---|
| Two hours, minimum booking | RM600 | RM1,200 |
| Three hours | RM900 | RM1,800 |
| Half day, four hours | RM1,200 | RM2,300 |
| Full day, eight hours | RM1,800 | RM3,600 |
The published prices include SST and room equipment. A weekend or public holiday fee applies separately, so the room rate alone is not the final total for those dates. These booking lengths and package prices are confirmed on the Maxsmart booking page.
For budget approval, use the total for your chosen duration. A low hourly headline can be less useful than a clear figure showing the room, the time reserved and any applicable extras.
When half day or full day offers better value
Choose hourly for a contained agenda
A two-hour or three-hour booking suits a discussion with a clear finish. It can work well for a client presentation or an internal decision meeting, provided the preparation and closing tasks fit within the reservation.
For Nexus, three hours costs RM900 at the standard rate. If that comfortably covers your meeting, the RM1,200 half-day package would mean paying for time you don't need.
Choose half day when you need four hours
Nexus costs RM1,200 for a half day, exactly the same as four hours at RM300 per hour. The package gives you a four-hour reservation, but it doesn't reduce the price against that hourly calculation.
Synergy Suite is different. Four hours at RM600 per hour would total RM2,400, while the published half-day package is RM2,300, a calculated saving of RM100. This is why it's helpful to compare each room's package rather than assume every half-day booking carries the same discount.
Consider full day for a longer working session
The eight-hour package costs RM1,800 for Nexus and RM3,600 for Synergy Suite. In each case, that equals six hours at the standard hourly rate, calculated from the published prices.
For an agenda extending beyond half a day, compare the full-day package before deciding. Maxsmart's online choices are fixed booking lengths, so don't assume a five-hour or six-hour reservation is available simply because an hourly rate is displayed.
How Maxsmart Event Space fits your meeting
We're on Level 13, Corporate Tower 2, Pavilion Damansara Heights, Kuala Lumpur. Nexus Executive Boardroom accommodates up to 18 guests around one table, making it suitable for board discussions and presentations where everyone needs to face one another.
Nexus includes a 98-inch interactive display, a camera that follows the speaker and immersive 360° audio. Its standard rate is RM300 per hour, with the longer packages shown above. Our Nexus room guide provides further context for planning a boardroom meeting.
Synergy Suite accommodates up to 72 guests in theatre seating or 36 in classroom seating. It includes an LED wall with supporting displays, a smart lectern and a professional PA system, with live streaming, broadcast and recording listed among its features. Its standard hourly rate is RM600.
Both rooms include 1Gbps Wi-Fi, a tech assistant on site, smart whiteboarding and filtered water. USB-C and wireless screen sharing are available, with support for Teams, Zoom, Google Meet and Webex. For a closer equipment check before a remote call, our hybrid meeting room equipment guide can help you prepare.
How FIRST50 and additional costs affect the total
For a company's first room booking, FIRST50 gives 50% off the room rate. Book by 30/11/2026 and hold your meeting by 31/12/2026; the offer covers hourly, half-day and full-day room bookings.
Under this offer, Nexus's published half-day price becomes RM600 and its full-day price becomes RM900. The same percentage discount across the room packages means the relative value of hourly versus longer bookings remains the same.
On weekends and public holidays, a flat RM300 fee is added to the room rate for either room, regardless of booking length. FIRST50 applies to the room rate only, leaving that fee unchanged.
Keep other costs separate when preparing your budget. Catering is available on request, while guests pay for parking separately at Pavilion Damansara Heights. This gives you a clearer comparison between the room reservation and the wider cost of hosting your meeting.
What to check before confirming your slot
Match the room layout to the way people will work, then check that the entire agenda fits the selected booking length. A room's maximum theatre capacity won't tell you how many guests can sit comfortably with tables for a working session.
At Maxsmart, room bookings are paid in full online by FPX or card and are confirmed when payment goes through. Check the cancellation conditions before paying: the site states full refunds require at least seven working days' notice for Nexus or 14 for Synergy Suite, while promotional bookings receive credit instead.
Our meeting room inclusions and booking guide gives more detail on preparing your reservation. Keep your guest count and preferred duration ready so you can choose a suitable slot.
